Create a manual reservation in Little Hotelier
While most bookings come automatically through OTAs and your booking engine, you can create manual reservations in Little Hotelier for walk-in guests, direct bookings made by phone or e-mail, and travel agency bookings.
💡 Before creating a reservation, refresh your browser (desktop) or refresh the app (mobile), then click View Today to make sure you're working with the most up-to-date availability to avoid double bookings.
Create a reservation
You can create a manual reservation from two places:
Calendar: click the +Reservation button.
Reservations: click Create reservation.
Enter room and rate details
Select the guest's check-in and check-out dates.
Select the Room type from the dropdown list.
Select the Room rate from the dropdown list. If you're offering a special price that isn't in the system, leave this field blank and enter the total manually in the Room field instead — the system will prorate the daily rate for you on the final invoice.
Assign a Room number. If you leave this blank, the booking will appear in the Unallocated row until you assign a room manually.
Enter the number of adults, children, and infants.
Apply a Discount if needed, for example for walk-in or direct bookings.
💡 The maximum number of guests permitted is set at the room type level. To check occupancy limits, go to Rooms and Rates > Room Types.
To add multiple rooms to a single invoice, click +Add another room. If you need separate invoices, create separate reservations instead.
⚠️ The extra person fee is set at the rate plan level. To change it, go to Rooms and Rates > Rate Plans, click the arrow next to the relevant rate plan, select the room type, then click Edit.
Enter guest information
Complete all required fields in the Primary contact section: name, e-mail, phone, address, and ID type.
Use the Guest comments field to record special requests, for example "Ground floor required." These comments appear on the confirmation e-mail sent to your guest.
Click Save to create the reservation.
Duplicate a reservation
You can duplicate a past reservation, including reservations that came from a channel (OTA), to quickly re-book a returning guest without re-entering their details. The new reservation keeps the original guest, room, rate and notes, and you can adjust the dates or any other field before saving.
To duplicate a reservation:
Open the reservation you want to duplicate.
In the bottom left corner of the reservation details, click Duplicate reservation.
Select the check-in and check-out dates for the new reservation.
Choose the information to carry over: primary contact, payments, guests, inclusions, extras, and notes.
Click Duplicate.
Click Go to new reservation to open and edit the new reservation.
The new reservation gets its own reservation ID and is marked Duplicated from under Guest details, linking it back to the original for your records.
Note:
Credit card details are not copied to the duplicated reservation for security reasons. Availability and pricing are re-checked for the new dates, so the original room, rate or extras may not be available. Extras carry over only if they still exist and are available for the new dates, at their current price
You must use the desktop version of Little Hotelier to duplicate a reservation
If a channel (OTA) reservation is duplicated, the duplicated reservation becomes a direct Little Hotelier reservation. The original channel (OTA) reservation stays unchanged and the duplicate is not sent back to the channel.
Email confirmations
Reservation confirmation e-mails are not sent automatically to the guest for manually created reservations. You will need to click the E-mail button in the reservation to send the confirmation to the guest manually.
Whether your property receives an e-mail confirmation for reservations you create depends on your reservation notification settings, which are managed per user in the Little Hotelier mobile app only. See View and manage notifications and preferences.
Manage manually created reservations
💡 Channel reservations cannot be changed through Little Hotelier. They must be modified (for example to change stay dates) directly through the original booking channel (OTA). You can only edit reservations that were manually created in Little Hotelier.
Manage the reservation you manually created using the action buttons at the bottom of the form:
Status dropdown: update the reservation from Confirmed to Checked-in or Checked-out as the guest progresses through their stay.
Email: send the invoice, summary, or confirmation to the primary contact. If you need to send to a different address, update the primary contact e-mail first, then click Save before sending.
Language: select the language for the confirmation e-mail before sending.
Print: generate a PDF of the invoice, summary, or registration form.
Record payment: record a payment made via external terminal or cash.
Cancel booking: use this only for manual reservations. For OTA bookings from channels such as Expedia or Booking.com, you need to cancel via the channel directly.
Use the reservation tabs for additional details
At the top of the reservation, you can manage additional details using the tabs:
Guests: add names and details for additional occupants.
Inclusions: view items included in the selected rate, for example breakfast.
Extra items: add items such as laundry or extra beds.
Payments: view a full audit trail of all transactions, refunds, and charges.
Notes: record internal staff notes, for example "VIP guest" or "moved from room 101." Guests cannot see these notes.
Invoice: generate invoices and track when they were printed or viewed.
Can I edit the room price?
You can only edit the room price directly in Little Hotelier if the reservation was created manually, as a walk-in, or the source of reservation is Extranet (direct bookings).
Go to Calendar and open the reservation.
In the Room rate drop-down, select the blank option.
In the Room field, enter the agreed final total room price.
Click Save.
⚠️ The daily price will be automatically pro-rated and will appear on the reservation invoice.
For Channel/OTA reservations, price changes must be made through the original booking platform. Contact the channel directly to modify the price.
Update reservation status / Check in and check out guests
Keeping reservation statuses up to date helps you track completed stays, manage room availability, and maintain accurate records.
There are three reservation statuses:
Confirmed: Default status for new reservations
Checked-in: Guest has arrived and keys provided
Checked-out: Guest has departed and room ready for cleaning
To update a reservation status, for example to check out a guest:
From Calendar or Reservations, click on the reservation to open it.
In the bottom right corner, click the status dropdown.
Select the new status (e.g. change it to Checked out).
Click Save.
Print a registration form
Little Hotelier provides a registration form you can use as a check-in form. To print a registration form for a reservation:
Go to Calendar.
Open the reservation.
Click Print.
Select Registration Form.
💡 To print registration forms for all reservations checking in on a specific date, go to Reports > Operational > Check-in, choose your check-in and check-out dates, click Run Report, then select Print Registration Form.
Cancelling reservations
Cancelling reservations made through channels
⚠️ You can't edit or cancel OTA (channel) reservations directly in Little Hotelier. Reservations made via OTAs (channels) must be modified or cancelled by the guest via the channel they used to book.
Only manual reservations created in Little Hotelier or via Direct Booking can be edited in Little Hotelier.
⚠️ Only Confirmed reservations can be cancelled directly. Checked-in/ out reservations require a status change first. Cancellations are permanent and cannot be undone. Once cancelled, the reservation status cannot be changed, and a new reservation will need to be made.
