How to import existing reservations to Little Hotelier

Upload existing reservations into Little Hotelier by using Import reservations, a helpful tool for migrating reservations from another platform.

Why upload future reservations?

The Little Hotelier Calendar is the central hub for managing reservations from all booking sources. To maintain accurate inventory and availability, add all your future reservations before connecting any online booking channels (such as Booking.com) to prevent overbookings.

You can add future reservations in two ways:

  1. Manually input individual reservations

  2. Import multiple reservations using a CSV file

Option 1: Input reservations manually

  • Add a new reservation via:

    • Calendar:

      • Click +Reservation

      • Click and drag across reservation dates

      • Click +Create Reservation

    • Setup

      • Go to Import reservations

Option 2: Import reservations via CSV file

Ensure you have set up your room types and rate plans before importing reservations.

  1. Navigate to Setup > Import reservations

  2. Download reservation template under More information

  3. Click Continue

  4. Click Edit table settings to configure:

    1. Date input format for reservations

    2. Optional details

  5. Click Confirm to save settings

  6. Open the CSV file and add all mandatory future reservation details

    1. Each row represents one reservation

    2. Include bookings from all sources

    3. Ensure mandatory fields are completed correctly

  7. Click Import CSV file to upload your file

  8. Click Import

  9. Review the imported reservations in the table

    1. Ensure all mandatory details are complete

    2. Look for green ticks next to each reservation

  10. Click Finish and upload

  11. Click Add reservations

    1. A green banner indicates successful import

Recommended optional fields

While not mandatory, we recommend entering the following fields:

  • Room number: Ensures correct room allocation. If left blank, any available room of the selected type will be assigned.

  • Currency: Specify if you accept multiple currencies. The default currency applies if left blank.

  • Reservation ID:

    • If blank, an ID starting with 'LH' will be assigned

    • For online booking channels, the Reservation ID must match the booking channel reservation ID otherwise cancellations or modifications will not sync

    • Avoid duplicate Reservation ID’s unless adding multiple rooms in one reservation

Group bookings

To add a reservation with multiple rooms:

  1. Enter separate rows for each room

  2. Use the same Reservation ID across all rows

  3. Ensure the following details match across all rows:

    1. Guest Name

    2. Check-in date

    3. Check-out date

    4. Booked-on date

Important notes:

  • Only future bookings can be added

  • Reservation data saves automatically

  • Special characters can be used in guest names

  • Additional guest details can be added after the initial booking

  • If you encounter errors, verify that dropdown field entries (Source of Reservation, Room Type, Room Rate, Room Number, and Currency) match available options

Successful imports will be confirmed by a green banner. Any failed reservations will be highlighted for correction and re-upload.
