Getting started with Calendar

Navigate the calendar, create and manage reservations or apply room closures.

What is the Calendar?

The calendar provides a comprehensive overview of your property at a glance. You can view confirmed reservations, upcoming check ins and check outs, current guests, room closures, room availability and payment status for bookings.

Understanding the Calendar

The Calendar displays all the confirmed, checked-in, and checked-out reservations. Cancelled bookings are not shown on the calendar but can be found on Reservations.

Your calendar shows each of the room types and their physical rooms. The number of available rooms determines the availability shown on the Inventory grid.

Example: If your double room type contains rooms 1, 2, and 3 and they have no reservations or room closures for a specific day, the availability shown on the Inventory grid would be 3.

Managing physical rooms

To rename physical rooms or change their number:

  1. Click on the physical room you want to change

  2. Edit the physical room name

  3. Click Save

Expanding and collapsing rooms

  • Click the room type name to hide or show the physical rooms and unallocated rows

  • Use the expand/collapse button in the upper-left corner of the calendar grid to show or hide all rooms simultaneously

Navigating the calendar

View options

  • Choose between 14 or 28 days using the drop-down menu

  • Click View today to return to today’s date

Navigation

Use the date picker to jump to specific dates, or use the navigation arrows:

For 14 day view:

  • < move back one day

  • << move back seven days

  • <<< move back 14 days

  • > move forward one day

  • >> move forward seven days

  • >>> move forward 14 days

For 28 day view:

  • <<< 28 days backward

  • >>> 28 days forward

Room closures

What is a room closure?

A room closure is a temporary block placed on a room for a specific period, making it unavailable for booking. Use room closures for renovations, maintenance, or when reserving a room for future bookings.

How does it work?

Room closures decrease the availability of the room type shown in the Inventory grid. When you open a room, it increases availability.

Room closures versus other restrictions

  • Room closure: Reduces room availability across all connected channels and your booking engine

  • Close website: Stops a specific rate plan from being sold on your booking engine

  • Close channels: Prevents selling a rate plan on all connected channels, excluding your booking engine

Note: Restrictions can be used simultaneously. Room closures apply to physical rooms on the Calendar, while close website and close channels apply to rate plans on the Inventory grid.

Managing room closures

Two methods to create a room closure:

  1. Click, drag and drop on the calendar and select Room closure

  2. Click the Room closure button at the top right

Fill in the required fields:

  • Room: Select the drop-down menu

  • Start date: Defaults to today’s date

  • End date: Defaults to tomorrow

  • Description: Enter an internal note explaining the room closure reason

Edit a room closure

  1. Locate and click on the room closure

  2. Modify the settings

  3. Click Save

Quickly modify the length of a room closure by dragging the end marker left or right.

Reopen a room closure

  1. Locate and click on the room closure

  2. Click Reopen room

Reopening a room closure will increase room availability across all connected channels and your booking engine.

Managing reservations

Create a reservation

Two methods to create a reservation:

  • Click, drag and drop on the calendar and select Reservation

  • Click the Reservation button

Reservation colours

  • Orange: Confirmed awaiting check-in

  • Green: Checked-in

  • Grey: Checked-out

  • Blue: Unallocated (no physical room assigned)

  • ​Red: Room closure

  • Red triangle: Booking with outstanding payment

View reservation details

Hover over or click the magnifying glass icon to view:

  • Reservation ID

  • Primary contact details

  • Guest information

  • Booking details

  • Payment summary

  • Available actions (payments, cancel reservation, print, email or update status)

Changing the length of stay

  • Drag end tip to adjust check-out date

  • Drag entire reservation to change check-in date

Moving a reservation

Drag and drop to change:

  • Physical room allocation

  • Room type

  • Check-in/check-out dates

Changing reservation status

You can’t check in before the check-in date or check out before check-out date:

  1. Click the magnifying glass icon

  2. Use the status button or dropdown to select (Confirmed, Checked-in or Checked-out)

Cancel a reservation

  1. Click the little magnifying glass icon

  2. Click Cancel reservation

  3. Confirm cancellation

Processing payments

  1. Click the magnifying glass icon

  2. Click Add payment

  3. Record or process payment

Print or email reservation details

  1. Click the magnifying glass icon

  2. Click Print or Email to generate:

    1. Registration form

    2. Invoice

    3. Summary

    4. Confirmation

Unallocated reservations

The unallocated row is used for confirmed reservations without a physical room assigned.

Reasons for unallocated reservations:

  • No consecutive nights available in same room type

  • Manual bookings without rooms assigned

  • Channel overbookings

  • Unable to find suitable room

Managing unallocated reservations

  • Drag and drop to an available room

  • Open the reservation and edit details

Use the unallocated row to manage bookings when reorganising rooms.
