Run and export reservation data

Overview

Little Hotelier provides two main ways to search for reservations:

  • Through Calendar using check-in or check-out dates

  • Through Reservations using filters like guest name, booking reference, invoice number and booking status

Search for reservations

Using filters

  • Booking reference (partial or full)

  • Invoice number

  • Date type:

    • Check-in date

    • Check-out date

    • Booked on date​

  • Status:

    • All

    • Cancelled

    • Checked-in

    • Checked-out

    • Confirmed

Set your preferred date criteria before searching, or leave blank to view results for any date.

Searching without dates

If you can’t remember the exact dates:

  • Select a date range using the Date from and Date to filters

  • Leave date fields blank to search across all dates

When searching without dates, use at least one other filter. For large search results, Little Hotelier will only display reservations from the first 31 days. Use the Export feature to view all search results.

Search results

After clicking Search, results display the following information:

  • Status (Confirmed, Checked-in, Checked-out or Cancelled)

  • Name (Primary contact details)

  • Reference (Booking confirmation number)

  • Source (Extranet, Direct or Channel name)

  • Occupants

  • Check-in/check-out dates

  • Booking date

  • ETA (estimated time of arrival)

  • Room number

  • Outstanding balance

  • Invoice number

Understanding reference numbers

Reference numbers consist of:

  • Letter code indicating booking source

    • LH: Little Hotelier direct booking

    • BDC: Booking.com

    • EXP: Expedia

    • ABB: Airbnb

    • AGO: Agoda

    • HWL: Hostelworld

  • Unique sequence number

Export reservation data

  1. Navigate to Reservations

  2. Set desired filters

  3. Click Search

  4. Click Export

  5. File exports in CSV format

Data included in the Reservations CSV

The exported CSV file provides reservation details including:

  • Booking details – booking reference, channel name, promotion code, and reservation status

  • Guest information – guest name, contact details, address, organisation, and any guest comments or internal notes

  • Stay information – check‑in and check‑out dates, length of stay, arrival time, room types, room rates, number of adults, children, infants, and number of rooms

  • Financial information – extras, discounts, surcharges, taxes, deposits, and any outstanding balance

  • Activity timestamps – when the reservation was booked and when it was cancelled (if applicable)

Some fields (marked with an asterisk in the system) are only populated for direct bookings or manually created reservations.

Note about check−in and check−out timestamps: The Reservations export includes key timestamps such as when a reservation was booked and when it was cancelled., but it does not provide a full change history for each reservation (for example the exact time when you change a reservation’s status to Checked‑in or Checked‑out, or when pricing was changed).
