How do I manage reservations with multiple rooms?

Little Hotelier allows you to manage bookings with multiple rooms. Before creating multi-room reservations, here are some limitations:

  • All rooms in a reservation must share the same stay dates

  • A single invoice covers all rooms in the reservation

  • Changes to booking status affect all rooms simultaneously

How do I add another room to an existing reservation?

  1. Open the reservation

  2. Select the Details tab

  3. Click Add another room above Booking Summary

  4. Complete all required fields

  5. Save changes

Multi-room reservations appear as separate blocks on the Calendar, sharing the same reservation ID. Any status changes (e.g., Confirmed to Checked-in) automatically apply to all rooms in the booking.

Note: You can only add room types that were created before the reservation was made. Room types created after the reservation cannot be added to existing reservations.

How can I add different guests to each room?

  1. Open the reservation

  2. Navigate to the Details tab

  3. Click Add new guest beside each room

  4. Enter guest details​

When should I split a reservation instead of adding rooms?

Split a reservation when you need to:

  • Accommodate room changes during a stay due to availability

  • Provide different room types for different stay periods

  • Handle varying stay durations for different rooms

  • Generate separate invoices for individual rooms

  • Manage room dates independently

How do I split a reservation?

  1. Open the reservation

  2. Navigate to the Details tab

  3. Locate the room to separate

  4. Click the remove icon(x) next to the room

  5. Create a new reservation for the removed room

For bookings with multiple rooms and varying dates, repeat for each room requiring separation.

How do I process an early check-out for a walk-in or manually created reservation?

An early check-out happens when a guest leaves before their original check-out date. You can update the reservation to shorten the stay and make the room available for resale.

⚠️ This process automatically recalculates the daily rate based on the new dates and will appear on the reservation invoice. You can only do this for walk-in or manually created reservations. For OTA reservations, contact the channel directly to make any changes.

Before you start, confirm the final total room price agreed upon with the guest.

To process an early check-out for a walk-in or manually created reservation:

  1. Open the reservation.

  2. In the Check-out field, select the new check-out date.

  3. In the Room rate field, click the rate name and select the blank option at the top of the dropdown list.

  4. In the Room field, enter the agreed final total room price.

  5. Click Save.

💡 Leaving the Room rate field blank lets you enter a custom price without changing your rate plan.

How do I create a reservation for a business guest?

To create a business reservation:

  1. Open the reservation

  2. Navigate to the Details tab > Primary contact:

    1. Enter company name as first name and surname

    2. Add tax ID number in the ID field

    3. Include company address under Organisation

  3. Record individual guest details in the Guests tab

Why are guest contact details missing from the reservation?

Contact details may be absent from a reservation if the booking was made through a third-party platform that doesn't pass through full contact details, the guest didn't provide contact information during booking, or there was a technical issue with reservation delivery from the channel.

If guest contact details are missing, contact the channel directly to obtain them.
