Understanding the inventory grid

Updated this week

The inventory grid is your central hub for managing how your hotel rooms are sold. It provides a visual layout of rates, availability and restrictions for each day. To update your rates and restrictions, go to Distribution > Inventory.

You can check the specific channel update periods by going to Distribution > Channels > My channels.

What can you manage in the inventory grid?

Your inventory grid allows you to control:

  • Rates: Set prices for each room rate, direct booking rate and channel rate

  • Stop sell: Closes availability for specific dates

  • Closed to arrivals (CTA): Prevents check-ins on specific dates

  • Closed to departures (CTD): Prevents check-outs on specific dates

  • Min. length of stay (MinLOS): Sets the minimum number of nights required for a booking

  • Max. length of stay (MaxLOS): Sets the maximum number of nights for a booking

Navigating the inventory grid

Use these controls at the top left of your grid:

  • Date: Select a specific future date

  • Today: Return to today's view

  • << (rewind): Move back two weeks

  • < (back): Move back one week

  • > (forward): Move ahead one week

  • >> (forward): Move ahead two weeks

You can only access present and future dates.

Filtering options

Customise your view with these filters:

  • All rates and availabilities: This is the default view, providing a complete overview of room types, room rates, availability and prices

  • Manual rates and availability: This view shows all room types and their manual room rates, availability and prices, but it excludes derived rates

  • Availability only: This shows all available room types

  • Channels view: Select a specific channel to see its rates and restrictions

Click the star icon on any view to set it as your default.

Managing channel rate restrictions

To access and modify restrictions for a channel:

  1. Navigate to Distribution > Inventory

  2. Under the room type, find the room rate.

  3. Click on the down arrow next to the room rate that says [x Connections], e.g. "5 Connections" to see its channel rates.

  4. Click on the Rates down-arrow (Rates v) to the right of the channel rate name to open the restrictions drop-down menu.

  5. Select a restriction (Stop sell, Close to arrivals, Close to departures). If a restriction is on, a blue box with a tick will appear. Empty boxes indicate no restriction. If you select Min. length of stay or Max. length of stay, the restriction value will show.

What do the colour codes and icons on the inventory grid mean?

To view what each symbol and colour on the grid represents, click on the question mark button to the right of the Today button to open the Legend menu.

  • Green cell with tick — valid update. The cell turns green when there has been a manual change that needs saving in the inventory grid.

  • Red cell with warning symbol — invalid update. The cell turns red if an invalid value has been added to the inventory grid. The fields only accept numeric values. Currency symbols ($, £, €), letters, or punctuation marks are not accepted.

  • Down arrow — rate is below minimum rate. A down arrow appears if you enter a rate value lower than your property's minimum rate for that currency. The minimum rate helps you avoid sending rates that are too low to your channels. Only enter rates in the inventory grid that are higher than the minimum rate. You can find the minimum rate setting in your property name > Property settings > General information.

  • Dark orange/yellow box with triangle in corner — all channel rates have stop sell enabled. This appears on the room rate and all of its channel rates if it has a stop sell or release period.

  • Pale orange/yellow box with triangle in corner — some channel rates have stop sell enabled. This appears on the room rate and some of its channel rates if it has a stop sell or release period.

  • Dark orange box with 0 (zero) — no availability. This appears on the room type or room rate if there is no availability.

  • Chain/link icon — derived rate. This shows that a rate is derived from another.

  • Calculator icon — currency conversion. This shows if the channel or the rate has currency conversion enabled.

  • Crossed arrows icon — rate multiplier enabled. This shows that a rate has a rate multiplier applied on the channel settings.

  • Alert/warning icon — channel rate disabled. This shows that a channel rate is disabled, and the channel is not receiving updates from your platform for that room rate. Click on the alert to find out more.

  • Dash (—) — data not supported by the channel or channel rate. A dash shows instead of an inventory value when the channel or channel rate doesn't support that setting. Sometimes channels can block certain inventory values for their channel rates, due to their configuration. This can happen with rates being blocked for derived rates on the channel side.
