What is a guest profile?
Little Hotelier automatically creates profiles for guests who stay at your property, containing their name, email, booking history and preferences. These profiles help you personalise any return visits and offer special deals.
Creating and finding profiles
Profiles are automatically created when:
A reservation is made with unique contact details (name and email)
Additional guests are added to a reservation
Find profiles in Guests using the search bar - search by name, email, phone or booking number.
Profile information and updates
Each guest profile contains:
Guest details (name, address, phone number, ID)
Recent bookings
To update a guest profile:
Search for the guest and click their name or View/Edit Profile
Edit information under Guest Details
Click Update Guest Details
Add guest notes to individual reservations rather than profiles.
Deleting profiles
Delete profiles to comply with GDPR or remove duplicates:
Search for the guest and click their name or View/Edit Profile
Click Delete Profile and confirm
Notes:
You cannot delete profiles with upcoming or ongoing reservations
Delete a profile is permanent
Past reservations with a deleted guest profile will show asterisks (*) instead of guest information
For profiles with future bookings:
Find the reservation in Calendar or Reservations
Replace guest details in the Details tab (primary contact) or Guests tab (additional guests)
Delete the original profile once the new one is created
Important notes:
Cannot delete profiles with active bookings until details are replaced
Deletion is permanent
Deleted profile reservations show asterisks (*) instead of guest information
This process helps maintain accurate booking records while allowing you to manage guest data in compliance with privacy requirements.
