Enable and customise guest emails for Direct booking

Enabling guest communication emails

Send e-mails to guests who book through your booking engine. Enable outgoing e-mails in Direct booking > Configuration > Guest communications by turning on the toggle next to each e-mail you want to send to guests:

  • Reservation confirmation*

  • Reservation modification*

  • Reservation cancellation*

  • Pre-arrival message

  • Post-departure message

💡 You can also get here from Setup > Website and promotion > Guest emails

Emails marked with an asterisk (*) are enabled by default.

⚠️ Once you have enabled each e-mail type, you will need to customise each e-mail template, or guests will receive blank e-mails.


Customising email templates

  1. Navigate to Direct booking > Configuration > Guest Communications. 💡 You can also get here from Setup > Website and promotion > Guest emails

  2. Click the pencil icon next to the email template you want to modify

  3. Personalise text and add images

  4. Click Show preview to see changes

  5. Save your changes

What can be edited?

The following fields can be edited in your email templates that will be sent to your direct booking guests:

  • Subject line

  • Header and footer images

  • Header and footer text

  • Header and footer URL: (you can include a URLs so that if guests click on the image, they will be directed to a specific URL)

💡Header and footer images:

  • The recommended dimensions for the header and footer image in direct booking emails are 600px width and 210px height.

  • You can't delete header and footer images directly when editing the email. To delete completely go to Setup > Property Settings > Media Library

Test your email templates

In addition to using the Show preview feature, it’s recommended to check your direct booking email template by sending a test email. You can make dummy reservations using your own email address, then check how the email you receive displays in various ways such as:

  • Via different devices (desktop vs. mobile)

  • Using different email providers (Gmail vs Outlook)

  • Across various web browsers (Chrome vs Firefox)

Set up your property’s Google Maps link

Your property's Google Maps location appears in two important places for guests:

  • As a Show on map link in reservation confirmation emails

  • As a clickable address on your booking engine's Contact us page

To ensure these links work correctly and direct guests to your exact location, follow these steps to add your Google Maps URL:

  1. Navigate to Direct booking > Configuration > Guest Communications. 💡 You can also get here from Setup > Website and promotion > Guest emails

  2. Click the pencil icon in the Location of your property on Google Maps field

  3. In a new browser tab, open Google Maps

  4. Type your property's full address in the search bar

  5. When your property appears with a red location pin, a details panel will open

  6. Click the Share button in this panel

  7. In the pop-up window, ensure you're on the Send a link tab, then click Copy Link (Do not use the Embed a map)

  8. Return to Little Hotelier and paste the copied link into the field

  9. Click Publish changes

Notes:

  • If the location of your property on Google Maps field is blank, the address on your contact us page will not be hyperlinked

  • If your embedded map shows the wrong location on your Contact us page, you'll need to update your address in Setup > Property details since the map pulls location data from these settings
