Managing room rates: How to create, edit and delete

What are room rates?

Room rates represent the combination of a room type and a rate plan, with configured pricing and restrictions.

For example, when you assign your "Double Room" room type to your "Breakfast Included" rate plan, you create a room rate that could be displayed as "Double Room, Breakfast Included" to potential guests.

Room rates allow you to offer diverse pricing options across your distribution channels and booking engine, maximising your chances of securing reservations.

Room rates:

  • Inherit rules from their parent rate plan to sell specific room types

  • Can be mapped to your channels and your direct booking engine, automatically creating "channel rates" to represent these connections

  • Must match configurations in your connected channels and systems to prevent cross-mapping issues and overbookings

  • Allow you to override settings from the parent room type and rate plan when needed

For hostel or dormitory properties selling by bed, we recommend configuring your room types and room rates as individual beds to enable selling them separately through your booking engine.

Creating a room rate

To create a room rate, you need to assign a room type to a rate plan. You can do this in several ways:

  • When initially creating a rate plan

  • By assigning one room type at a time to an existing rate plan

  • By assigning multiple room types to a rate plan simultaneously

Assigning a single room type

  1. Navigate to Rooms and rates > Rate plans

  2. Select a rate plan and click Assign room type

  3. Configure your room rate settings and click Save

Creating multiple room rates

  1. Navigate to Rooms and rates > Rate plans

  2. Select a rate plan and click Assign multiple room types

  3. If this is your first time assigning room types to this rate plan, enter the full rate, included occupancy, and extra adult and child charges, then click Next​

  4. Review your room types and details, then click Assign room types

When assigning multiple room types, some fields may already be populated depending on your rate plan settings:

  • If you've selected to derive daily rates from an existing rate plan

  • If you've previously assigned room types to this rate plan

After assigning room types, you can edit individual room rates to configure additional settings, such as overrides.

Room rate settings

When setting up your room rates, you can configure the following options:

General information

  • Room type: The room type assigned to the rate plan

  • Description: Text shown on your direct booking engine and sent to supported booking channels

Occupancy and restrictions

  • Included occupancy: Number of guests included in the room rate

  • Stop sell: Option to block this room rate by default

  • Maximum occupancy: Maximum number of guests allowed for this room rate

  • Release period: Number of days in advance a reservation must be made

  • Minimum length of stay: Minimum number of nights required for booking

  • Maximum length of stay: Maximum number of nights allowed for booking

  • Inclusions: Items included in the rate (Breakfast, Lunch, or Dinner), which are sent to supported channels like Booking.com

Pricing details

Rate setup

  • Override rate plan pricing: Option appearing only for derived rate plans, allowing you to override the parent rate plan's pricing rules (not recommended)

  • Minimum rate: The lowest price allowed for this room rate in inventory

  • Daily rates: Choose between manually entering rates or deriving them from another room rate

Extra rates/discounts

  • Extra adult rate: Amount charged per additional adult beyond the included occupancy (per night)

  • Extra child rate: Amount charged per additional child beyond the included occupancy (per night)

  • Single guest discount: Discount for single occupancy when the included occupancy is 2 or more (specified as an amount or percentage)

Notes:

  • Configure channel-specific restrictions when mapping the rate to channels (in channel rate configuration)

  • Fields displaying a lock icon indicate inherited values from the room type or rate plan. Override inherited values by clicking the lock icon and entering a new value specific to this room rate.

Editing or deleting a room rate

To modify or remove an existing room rate:

  1. Navigate to Rooms and rates > Rate plans

  2. Click the parent rate plan's down arrow (v) to display its room rates

  3. Select the specific room rate to modify or delete

  4. In the Room rate actions menu, choose Edit or Delete

  5. Make your changes and click Save#, or confirm deletion

When deleting, ensure you're selecting the room rate, not the rate plan. Deleting a rate plan removes all its associated room rates and channel mappings.

Before deleting a room rate

  • Deletion is permanent and cannot be undone

  • Associated mapped channel rates will also be deleted, stopping updates to these rates

  • Equivalent rates on your channels and connected systems will not be automatically deleted—you must remove these separately

  • Deletion is prevented if there are existing reservations through your direct booking engine with future check-out dates

  • Consider suspending the direct booking rate until all reservations have checked out before attempting deletion
