What is the virtual terminal?

The virtual terminal allows Little Hotelier Pay users to process payments in Little Hotelier for walk-in guests, extra charges or ad-hoc payments.

Processing payments

  1. Navigate to Payments > Virtual terminal

  2. Enter the following:

    1. Description

    2. Amount

    3. (Optional) Surcharge

  3. Enter card details:

    1. Card number

    2. Expiry date

    3. Name on card

    4. Security code


Upon successful payment, you’ll see a ‘Payment Successful’ message. You can then print or email a payment confirmation to your guest.

Processing refunds

  1. Navigate to Payments > Transactions

  2. Find and click the the transaction

  3. Click Refund

  4. Enter the amount (full or partial)

  5. Click Process refund

A ‘Refund Successful’ message will appear when completed. You can then print or email a confirmation to your guest.

Important notes:

  • Refunds must be issued within 90 days of initial payment

  • Cannot be reversed once processed

  • May take 5–10 business days for a refund to appear on the cardholder's bank statement

  • Card details are automatically deleted 7 days after check-out (to comply with PCI DSS and GDPR compliance

How do I generate a payment or refund confirmation?

  1. Navigate to Payments > Transactions

  2. Select the relevant transaction

  3. Click Print confirmation

Does the virtual terminal calculate taxes or promotions?

When you process a payment using the virtual terminal, taxes are not added and promotions are not discounted. You’ll need to calculate any applicable taxes or promotions and apply them accordingly.

What fees are charged for using the virtual terminal?

Fees are charged per transaction and vary based on your country, card network and card type. Fees are outlined in your Little Hotelier Pay activation form.
